The Task That's Been on Your To-Do List for Months

Why bureaucracy exhausts us more than other tasks

Adulting still catches me by surprise. When we plan to travel, the fact that I am now responsible for getting the right paperwork in place for our whole family (and not my dad, in fact sometimes I do it for him too) is both a point of pride and anxiety.

So naturally, in time for winter travel, the bulk of what we're helping our customers with is getting the right documentation in place - passports, visas, OCI cards, RealIDs, passport cards, global entry and more. These aren't tasks people forget about because they don't care. They put them off because government paperwork is mentally exhausting in a way that few other tasks are.

The timing paradox. Our brains trick us into thinking we have more runway than we actually do. May feels like forever away when it's September, but the math tells a different story: passport renewal takes 2 months (if everything goes smoothly), plus time to gather documents and secure appointment slots. Destinations require 6+ months of validity remaining. That "plenty of time" just became "barely enough time."

The clarity vacuum. Processes aren't clearly laid out anywhere. Requirements change without notice. There's no single owner - different government agencies control different pieces, each with their own portals, procedures, and quirks. The emotional labor of weeding through conflicting documentation to figure out what you actually need? Exhausting.

The stakes are high. Missing deadlines doesn't just inconvenience you, it can derail family vacations, prevent you from visiting aging parents, or complicate major life transactions. The weight of getting it right adds pressure that other administrative tasks simply don't carry.

So why do we keep putting these tasks off for months or years? Because finding the 10+ hours of focused mental energy to wade through bureaucracy and deal with websites that continuously crash feels impossible when you're already juggling everything else.

This week, we're sharing what we've learned about staying ahead of government paperwork - the timelines, systems, and checklists that actually work. If you're interested in cheat sheets on how to navigate this, or ready to hand it off fully, we are here to answer your questions. Just reply to this email.
